Google Business Profile Guide

Google Business Profile Dos and Don'ts
For Trades That Want To Rank.

The rules that get plumbers, HVAC, electrical, and roofing companies suspended, and the moves that actually get you into the top 3. Plain English. Updated for 2026.

Why It Matters

Why this matters more than ever in 2026

Your Google Business Profile is your free listing on Google Maps and Search. For most home service companies, it brings in more calls than anything else. But Google is much stricter about it now. Through 2026, Google has removed thousands of these listings in waves, often overnight, with no warning.

Trades like plumbing, HVAC, electrical, and roofing get watched closely, because these industries have a long history of spam. The hard part is that most owners who lost their listing never knew they broke a rule.

This guide fixes that. It lists the rules from most risky to least risky, so you know exactly where to focus. Tier 1 can get your listing shut down. Tier 5 is the polish that helps you rank once everything else is clean.

How to Read This Guide

Five tiers. Read the most risky first.

TIER 1 Most Risky

Most risky. Get this wrong and Google can shut down your listing.

TIER 2 Risky

Risky. This can get you reviewed by Google, drop your spot, or hide your posts.

TIER 3 Medium

Medium. Your posts get hidden and Google trusts you less.

TIER 4 Low

Low. This will not shut you down, but it caps how well you perform.

TIER 5 Polish

Polish. The work that wins rankings once Tiers 1 to 4 are clean.

The Five Tiers

The rules, ranked by what matters most

Start at Tier 1 and work down. Do not skip ahead.

1

Most Risky: Mistakes that shut down your listing

These are the fastest ways to lose your listing. Fix these first, before anything else.

Do
  • Use your real business name, exactly as it appears on your truck, your sign, and your invoices.
  • If customers do not come to you, hide your home address and show your service area instead.
  • Use a real address where you actually work.
  • Keep just one listing for your business.
  • Earn reviews honestly, from real customers.
Don't
  • Add cities or services to your name, like "Joe's Plumbing San Antonio Drain Repair." This is the top reason listings get suspended.
  • Use a PO box, a mailbox store, a virtual office, or a coworking space as your address.
  • Show your home address publicly if you drive out to customers.
  • Create a second listing for the same business.
  • Buy or fake reviews. This can remove your whole listing, not just the review.
  • Leave old helpers or past agencies on your profile. If their Google account gets in trouble, every listing they touch can be suspended too.
2

Risky: Mistakes that get you reviewed or penalized

These can get your listing manually reviewed or drop your ranking. Several review rules here are new for 2026 and catch a lot of owners by surprise.

Do
  • Write your name, address, and phone the same way everywhere: your website, your listing, and every directory you appear on.
  • Use your local phone number, not a toll-free or call-forwarding number.
  • Pick the one category that best fits your core business, then add other categories only if they are genuinely true.
  • Set your service area to where you really work, within about a two-hour drive.
  • Ask for reviews with one simple request after the job, spaced out over time.
  • Point your website link straight to your real website.
Don't
  • Change several big things at once. Change one thing at a time over a few days.
  • Ask customers to mention a staff member by name in their review. NEW 2026
  • Collect reviews on your own tablet, lobby kiosk, or front-desk device. NEW 2026
  • Set review quotas or pay staff per review. NEW 2026
  • Claim a service area far larger than you actually cover.
  • Use a website link that redirects to another page, or one that points to a YouTube channel. Both can trigger a suspension.
3

Medium: Mistakes that hide your content

These will not remove your listing, but Google will quietly hide your posts and trust you less.

Do
  • Write your posts the way you would talk to a neighbor.
  • Put your phone number in the "Call now" button, not in the post text.
  • Reply to every review, calmly and professionally. If someone is upset, offer to make it right.
  • Describe what you do honestly.
Don't
  • Repeat the same keywords over and over in your description, posts, or Q&A.
  • Put phone numbers or web links inside post text or on top of your images.
  • Use ALL CAPS, or claims like "best" or "number one" that you cannot prove.
  • Offer a discount, gift, or prize in exchange for changing or removing a review.
4

Low: Things that hold you back

None of this will get you suspended. But skip it and you leave calls on the table, because your listing looks less active than your competitors.

Do
  • Add at least ten real photos: your team, finished jobs, and branded trucks.
  • Post at least once a week, every week.
  • Fill out every field, and keep your hours current, including holidays.
  • Answer reviews and questions quickly.
Don't
  • Use stock photos. Google can detect them and they perform worse.
  • Post in bursts and then go quiet for weeks.
  • Leave fields blank or let your hours go out of date.
  • Ignore reviews and customer questions.
5

Polish: The work that wins rankings

Once Tiers 1 to 4 are clean, this is how you pull ahead of other companies on the map.

Do
  • List all of your services, and turn on accurate profile details like the ways customers can pay.
  • Post weekly with real local detail: real neighborhoods, real jobs, real seasons.
  • Add fresh photos and short video regularly.
  • Add the real questions customers ask, with your answers.
Don't
  • Treat the profile as set-and-forget once it is built.
  • Recycle the same generic post that any company anywhere could use.
  • Let your newest photos be years old.
  • Leave obvious customer questions unanswered.
If Things Go Wrong

If Google ever shuts down your listing

Stay calm, and do not create a new listing. A duplicate while you are under review can get both removed for good.

Fix every problem first. Never appeal a profile that still breaks a rule. That guarantees a denial.

Get your proof ready: business registration, business license, tax forms, and a recent utility bill. Add photos of your sign and trucks, and a short video that starts outside your building.

Submit one appeal through Google's official appeals tool, with all your files ready before you start.

Wait for the decision. It usually takes about a week, but during busy periods it can take longer, and you will not get a confirmation email, so do not panic. Do not submit repeat appeals, which only slow things down.

Common Questions

Common questions about Google Business Profiles

Most suspensions come from one of a few causes: keywords added to the business name, an address that is not a real physical location like a PO box or virtual office, multiple listings for the same business, or a manager account that was itself flagged. Listings in trades like plumbing and HVAC are watched closely, so even a real business can be suspended if a competitor reports it.
No. Google does not allow phone numbers or website links inside the text of a post, and the same goes for numbers written on top of an image. Use the post's built-in "Call now" or "Book" button instead. Posts that break this rule tend to get hidden rather than shown.
Only if it is genuinely part of your real registered or DBA name, matching your signage, license, and website. Adding a city or service just to rank, like "Joe's Plumbing San Antonio Drain Repair," violates Google's name policy and is the single most common reason businesses get suspended.
Yes, but if you travel to customers and they do not visit you, you should enter the address and then hide it, showing your service area instead. Never use a PO box, mailbox store, or virtual office, as those are common suspension triggers.
There is no fixed number, but most competitive markets need at least 15 to 20 reviews to be taken seriously. What matters more than the total is a steady stream of fresh reviews over time, and replying to them. A burst of reviews followed by months of silence is weaker than a consistent monthly flow.
No, not directly. Controlled tests across hundreds of keywords have found that posting does not move local rankings. Posts are still worth doing because they keep your listing active and can earn clicks and calls, but they are not a ranking lever. Reviews, your primary category, and proximity carry far more weight.
The biggest factor, proximity to the searcher, is not something you control. Of the things you can control, your primary category has the fastest effect, followed by a steady flow of recent reviews. Accurate hours, a complete profile, and city-specific pages on your website round out the list.
After you submit an appeal, a decision usually takes about a week, though during heavy suspension periods it has taken several weeks. You will not receive a confirmation email when you submit, so the lack of a reply right away is normal. Submitting the appeal more than once tends to slow it down.
